Events Manager – Holiday Camps and Community Events
Additional Hours: Increased hours during school holidays and peak periods
Role Overview
The Events Manager is responsible for planning, organising, and delivering high-quality holiday camps and sporting/enrichment events. This role oversees events from initial concept through to delivery and evaluation, ensuring they are well-organised, safe, engaging, and aligned with organisational standards.
Key Responsibilities
Event Planning and Delivery
- Plan, coordinate, and deliver holiday camps and sporting/enrichment events
- Oversee events from concept through to delivery and evaluation
- Create event schedules, timelines, and activity plans
Holiday Camp Organisation
- Organise all aspects of holiday camps
- Develop and manage themed days, including activities and required resources
- Ensure appropriate equipment and resources are organised and available
Venues and Logistics
- Book and liaise with venues
- Coordinate logistics including set-up, pack-down, and equipment transport
- Ensure venues meet health, safety, and safeguarding requirements
Staffing and Communication
- Organise staffing levels and rotas for camps and events
- Communicate clearly with staff before and during events
- Support the recruitment, onboarding, and briefing of seasonal staff
- Act as a point of contact for staff during event delivery
Equipment and Resources
- Organise, track, and maintain equipment and event resources
- Ensure equipment is delivered, set up, and stored correctly
Health, Safety and Compliance
- Ensure all events comply with safeguarding, health & safety, and risk assessment requirements
- Liaise with venues regarding policies, insurance, and emergency procedures
- Ensure staff are briefed on safeguarding procedures and event protocols
Administration and Systems
- Work closely with the Admin Manager regarding booking systems
- Support accurate event listings, bookings, and data management
- Maintain event documentation and records
Partnerships and Stakeholders
- Work with schools, venues, community organisations, and sports clubs
- Support and develop partnerships for camps and enrichment events
- Represent the organisation professionally with all stakeholders
Budgeting and Finance
- Support event budgeting and cost control
- Monitor event-related expenditure to ensure cost-effective delivery
Communication and Marketing Support
- Provide event information for marketing and promotional materials
- Work with the Admin Manager and Social Media Manager to promote events
- Support communication with parents, schools, venues, and partners
- Manage pre-event and on-the-day communications
Monitoring and Improvement
- Gather feedback from staff, parents, children, and partners
- Evaluate events and identify areas for improvement
- Produce post-event summaries or reports as required
Skills and Experience
Essential
- Strong organisational and multitasking skills
- Excellent communication and coordination abilities
- Ability to work independently and adapt to changing priorities
- UK Driving Licence
- Experience working in events, childcare, education, sports, or enrichment activities
Desirable
- Experience coordinating holiday camps or similar programmes
- Experience liaising with schools, venues, or community organisations
- Knowledge of safeguarding, health & safety, and risk assessments
- Experience supporting event budgets or monitoring costs
- Familiarity with booking systems or administrative processes
